STEP O5 - ORDER STATUS REPORTING

Did you crystal clear about the first step until forth step of order processing ? Now lets we move on to the final step of order processing which is order status reporting.

This activity ensures that good customer service is provided by keeping the customer informed of any delay in order processing or delivery of the order. 

This step is to inform to the customer about the  goods condition before customer received the goods. 

The activity that are related is =

1) Tracing and tracking the order processing or delivery of the order.
2) Communicating with the customer about where the order may be in the order cycle and when it may be delivered.

STEP 04 - ORDER FILLING

So far, do you clear for our explanation? If yes, lets we continue. :D

Number of orders processed within a period without stock outs or need to back order, expressed as a percentage of total number of orders processed within that period.
Bulk material from production is stored in containers until it is filled. Process-oriented filling supports complex filling processes that are regulated by control systems as well as simple, mainly manual filling. Filling is carried out using process orders that have been created on the basis of a filling recipe.
Process-oriented filling is characterized by:
  • A filling recipe exists.
  • Confirmations on the filling process can be carried out using the PI sheet.
You use the following R/3 components for process-oriented filling:

Step 03 - ORDER ENTRY

The Order entry  system is simple to operate and easy to learn. It simplifies order entry processing... it permits operation by current personnel. 

The system features an interactive video display that allows the operator and system to be constantly in contact with each other. Displayed instructions lead the operator through each step of the order entry process. 

For example, the video screen prompts the operator to enter the customer number, item number, and quantity and displays data entered for visual verification. 

The system automatically....
  • Validates data entries immediately upon input.
  • Finds the customer's name and address in the customer master file and writes it to the open order file.
  • Checks customer's credit limit and informs the operator whether the credit limit has been exceeded or whether this order will cause it to be exceeded.
  • Finds item in inventory master file, displays the item description for visual verification, and writes item description to the open order file.
  • Checks for availability of stocked items, displays these items to the operator and reserves them in the open order file.
  • Calculates prices, discounts, quantity breaks, and taxes.
The system also:
  • Provides for entry to ship-to-address if different from bill-to address.
  • Provides for special descriptions that may apply to the entire order or to an individual item.
  • Provides for entering special charges, such as freight and handling charges.
  • Provides daily transaction register and totals for input control.
  • Provides a printed journal.
  • Provides an exception report as orders are being entered.
  • Produces pick tickets to facilitate picking items in the warehouse.

ORDER ENTRY ACTIVITY

Immediately available, this report is produced as orders are entered. It pinpoints exception conditions and provides a complete audit trail. Warning messages are printed for any item that requires action due to below minimum or out of stock conditions. The report also indicates other conditions such as credit limit exceeded, price overrides by the operator, and cost deviations.






STEP 02 - ORDER TRANSMITTAL

 Hello, hi everyone! Now we continue to the next step which is order transmittal.

What is order transmittal? Did you know that? okay I will tell you now. lets readdddd !!!!

After order preparation, you need to transmit the order information for completing the order processing cycle.
Order transmission can include the mailing of orders or the physical carrying of orders by the sales staff to the point of order entry.

Nowadays for transmission of data we are using toll- free telephone numbers , data phone, Web site on the internet, EDI, facsimile machine and satellite communication.

Years by years the revolution of technology, was become improve. Speed, reliability and accuracy are performance characteristics that should be balanced against the cost of any equipment and its operations.

Step 1 - Order Preparation

We start our next lesson :)

Today, i will explain about order preparation .
(please pay attention)

the action or process of making something ready for use or service or of getting ready for some occasion, test, or duty. In summary, gathering information needed about the the products and services desired and formally requesting the products to be purchased.

There is the way to determining the appropriate vendor and determining the stocks availability also communicating order information by  telephone call, web site menu, or any electronic technology.

Example work in order preparation :
 
Face to face.

Collect the data or information of goods/products from customer.

Using manual.
Through webcam as technology facility.

The first step in order processing is order preparation. Clear? Okay, I repeat. It function to gather and receives the information of the goods to be purchase. Easy right?
Before I end up this sub-topic. I want to give an example of order preparation in logistic industry. 
Everyone have been bought a grocery in any supermarket, hypermarket or any shop. We can see a bar code that already put on the products right?. So, this bar code technology function to make order preparation by electronic  in gathering information about how many the demand item.Then it will convert in system form.

What is Order Processing ?

Assalammualaikumwarahmatullahiwabarakatuh.

Okay, today we will start with what is Order Processing or (OP) . There is the meaning of order processing.
Order processing is the term used to identify the collective tasks associated with fulfilling an order for goods or services placed by a customer.

The processing procedure begins with the acceptance of the order from the customer, and is not considered complete until the customer has received the products and determined that order has been delivered accurately and completely.

Companies often invest a great deal of time and effort in designing an efficient order processing strategy, thus increasing the possibility of establishing a long-term working relationship with its customers.

In order processing, there has 5 types of order which is order preparation, order transmittal, order entry, order filling and order status reporting.Order processing is one of the way to add the customer value.
